The AmeriCorps program at Girl Scouts of Western Washington is designed to address the following needs:
- Lack of accessible troop models in communities where caregiver volunteerism is unavailable. Traditional Girl Scout troops are based on youth meeting regularly in small groups run by parent volunteers. However, this model is not accessible in communities where caregiver volunteerism is unavailable due to work schedules, cultural differences, or lack of resources.
- Diversity and representation in Girl Scouts. The lack of accessible troop models in certain communities disproportionately affects girls from underrepresented backgrounds. This is because these girls are more likely to have caregivers who are unable to volunteer, and they are also less likely to be aware of Girl Scouts or to have access to it.
The AmeriCorps program aims to address these needs by:
- Creating new troop models for communities where traditional volunteerism is financially impossible or culturally inappropriate. AmeriCorps members will work with community organizations to recruit and train adult volunteers to lead Girl Scout troops in these communities.
- Growing and diversifying the Girl Scout membership. AmeriCorps members will recruit and enroll girls from underrepresented backgrounds in Girl Scouts. They will also provide training and support to these girls to help them succeed in the program.
We’re thrilled to announce that Girl Scouts of Western Washington is now using our cutting-edge, mobile-friendly platform, the Impact Suite. This partnership is set to revolutionize the way the Girl Scouts of Western Washington manages AmeriCorps timesheets and member files, ensuring seamless compliance with AmeriCorps’ stringent requirements. In this blog post, we’ll delve into how the Impact Suite will empower the AmeriCorps program at Girl Scouts of Western Washington to efficiently meet their compliance goals.
- Digital (and Mobile!) Transformation of Timesheets: One of the key challenges that many AmeriCorps programs face is the management of timesheets for their members. The Impact Suite’s state-of-the-art digital timesheet management system offers a user-friendly interface that simplifies the process for AmeriCorps members. Now, members can easily log their hours, activities, and tasks via a mobile app (or our mobile-responsive web service), eliminating the need for cumbersome paperwork and manual data entry. This streamlined approach not only saves time but also reduces the chances of errors and discrepancies. Our timesheet process has passed every single state service commission- and federal-level audit since we first launched it in 2011.
- Centralized Member Files: Maintaining accurate and up-to-date member files is crucial for compliance with AmeriCorps guidelines. The Impact Suite provides a secure and centralized repository for storing and managing member files. From application forms to certifications and training records, all necessary documents are stored in a single digital location. This ensures that program administrators can access the required information whenever needed, without the hassle of searching through stacks of paperwork.
- Automated Alerts and Reminders: Staying on top of compliance deadlines and requirements is a top priority for AmeriCorps programs. The Impact Suite offers automated e-mail, SMS, and/or mobile app-based alerts and reminders that notify members and site supervisors of impending deadlines, ensuring that important tasks are completed on time. This feature not only reduces the risk of missed deadlines but also contributes to a culture of accountability and responsibility among program participants.
- Robust Reporting and Data Insights: Efficient compliance management requires accurate data analysis and reporting. The Impact Suite’s advanced reporting tools empower program administrators to generate comprehensive reports on member activities, hours served, and compliance status. And our reporting system gives programs the flexibility to always get just what they need — we don’t force data into reports that staff don’t need at any moment.
- Real-time Collaboration and Communication: Effective communication and collaboration are integral to maintaining compliance within AmeriCorps programs. The Impact Suite features a range of communication tools, including real-time messaging and document sharing, which facilitate seamless interaction between program staff, site supervisors, and members. This feature fosters transparency, quick issue resolution, and ensures that everyone is on the same page regarding compliance requirements.
- Tight-knit Customer Service: Our support team — made up of national service veterans — is available by e-mail and phone for 11.5 hours each day. We usually reply to e-mail tickets tickets in fewer than 15 minutes! We want our clients to spend time on mission, not on hold.
By embracing digital transformation, streamlined processes, and innovative communication tools, the Girl Scouts of Western Washington is well-positioned to meet and exceed AmeriCorps’ timesheet and member file requirements. As the AmeriCorps program continues to empower members to make a positive impact on their communities, the Impact Suite will be their steadfast ally in achieving compliance excellence.
